Krakow conference

The second INCITE conference, organised within the scope of our project, is scheduled to take place in Krakow from 17-21/03/2026. During this meeting, the consortium will engage in discussions with the Project Officer (PO) concerning the initial year’s implementation of the project. Additionally, doctoral candidates (DC) from our network and external candidates will have the opportunity to present themselves and their projects during a poster sessions. The training school for DC will offer introductions to topics including neurogenetics, insect behaviour, biostatistics and comparative chronobiology. Furthermore, our commercial partners from BioBee, Nasekomo and FreezeM will participate in the programme and interact with the DC.

Location of the conference

The main programme of the conference will take place at Collegium Novum, Jagiellonian University, Krakow, Poland. The accommodation for all attendees of the conference will be in St. Pigion Guesthouse, Jagiellonian University, Krakow, Poland. Both of the venues are in the hearth of the Old Town of Krakow.

Midterm meeting

 As indicated in the Work programme, a mid-term meeting should be organised between the participants and the granting authority to assess:

  • the fulfilment of the recruitment procedure;
  • the eligibility of the Doctoral Candidates (DCs);
  • the project’s progress;
  • any deviations from the original research training programme and define – if necessary – contingency measures.

It will also allow the granting authority to remind consortia and DCs of their rights and obligations.

Please refer to the ‘Document’ section for the relevant supporting documentation, which should be read prior to the midterm meeting (i.e., 3information note for marie skłodowska-curie fellows-NC0324067ENN and 4information package for marie skłodowska-curie fellows-NC0524462ENN).

What to expect from the mid-term meeting:

  • Tour de table: All scientists-in-charge should briefly present their research team and describe their role within the network (1-2 min each). Introduction of the Associated Partners.  
  • Coordinator’s report: Presentation of the Network and the progress observed during the first year of implementation.
  • REA Project officer presentation: presentation on the monitoring of project implementation, reporting and purpose of the mid-term check
  • Restricted session with the DCs: the session is intended to allow the researchers to discuss with the REA representative about their experiences within the network in terms of training foreseen, supervision arrangements, progress and impact on their future careers. The DCs representative(s) may summarize the fellows’ feedback in a couple of slides to briefly present their experience in the network and the project (by highlighting what is positive and what could be improved). Questions could be also collected in advance as a basis for discussion during the meeting.
    • Main points of dicussion:
      • Administration: awareness of the grant agreement provisions, working conditions (employment contracts compliant with the Annex V of the grant agreement, eligible allowances, visa issues, administrative support, tuition fees);
      • Supervision and integration: quality of the supervision, integration within the research team/the network/ the host institution/the country, career development plans;
      • Training: effectiveness of the Career Development Plan, individual research projects, secondments, PhD enrolment, attendance of external courses/workshops/conferences, language courses and complementary skills training.
      • Awareness of the European Charter for Researchers

Poster session

The poster session on Wednesday will work as part of the mid-term meeting, where the DC will introduce themselves and their work. Furthermore, we will use the time for poster session to also have a Supervisory Committee meeting (SupC). Therefore the supervisors, network co-supervisors and external advisors can discuss the DC progress and provide suggestions. Please prepare a 7-minute talk for the poster presentation, which contains all the below-mentioned points. Our project officer will be going one by one and listening to all your poster presentations. In order for her to see all the posters, please stick on time. Since the time allocation is very little, please practice beforehand.

The final digital version of the poster needs to be sent to me by 07/03/2026, as it will be uploaded to the webpage and circulated to the INCITE members. Please ensure you bring the printed version of the posters with you to the conference. The posters will be displayed for the duration of the conference.

Poster must contain:
  1. DC name, DC number and project name
  2. DC ‘home laboratory’ and supervisor’s name
  3. Scientific part of your project (Intro + results + future plans) – Please do not worry if you do not have any result, especially those of you, who started later.
  4. INCITE logo – you can download it from here.

Does not need to be on a poster, but be prepared to present:
  1. Your background: Your previous university, focus of your studies…
  2. Your secondment: Discuss with your supervisor and network co-supervisor the plan and let me know in the next progress report (07/03/2026). This is obligatory and we will be reporting this to the EU. Therefore, place carefully select the expected dates and placement.
  3. Your future plans: Any career plans, field of interest, science or industry focus…
